New Functionality within the Training Module
Training Matrix
The training matrix can be used to manage employee training records and training requirements. The Matrix allows organisations to monitor and identify the following:
- Ensure employees are trained to carry out the tasks involved within their job roles
- Job roles and the different training requirements associated to them.
- Training requirements can be categorised for example as mandatory or optional, based on job roles. This allows training courses to be prioritised.
- Identify each employee’s training to date and future training required.
- The training matrix can also be used to identify the training completed, and required for third parties such as contractors.
Course Management
With the new functionality Safeguard users are now able to more efficiently manage a programme of courses by:
- Creating a training course where the potential delegate list is auto created based on the training matrix.
- Ensure the correct delegates are selected based on their job roles and the types of training to be delivered.
- Delegates are invited to attend, or are enrolled onto courses based on a defined minimum and maximum number of places on a course.
- All invites and enrolments are communicated via email notifications.
- Course registers are produced and automatically populated with delegate names and dates
- Completed courses are marked to identify delegate attendance / non-attendance, and pass marks.
- Non-attendance can be reduced through reminder emails for scheduled courses.

Fundraising above the clouds
Rivo’s Managing Director, Simon Hook, has put on his hiking boots and set off to climb Mountain Kilimanjaro. Kilimanjaro located in Northern Tanzania, lures thousands of climbers, professional and amateur alike each year to attempt to conquer its 5,895-meter summit.
Having already raised around £13,000 for Leukaemia Research after running the London Marathon in April this year, Simon hopes to get more people to give blood as currently only 4% of the eligible population actually donates blood. Talking about his latest challenge Simon said “Leukaemia Research is a charity close to my heart as they are the only charity in the UK dedicated exclusively to researching blood cancers and disorders. They are committed to giving everyone living with Leukaemia the best chance of survival. Leukaemia Research receives no government grants and their life-saving research depends entirely on voluntary donations. I hope to do my bit and that I can also inspire you to help.” Further details can be found on Simon’s blog http://savealife.typepad.com/save_a_life/ Good luck Simon!

Remote Hazard Reporting Safeguard users are now able to report a hazard by simply sending a text message to the system.
Hazards can be sent by anyone, whether a Safeguard user or another member of staff, and senders will receive an automated response by text or email, confirming receipt of the hazard. When a text message is received, Safeguard can be configured to send a notification to a user responsible for managing hazards. Safeguard’s hazard management process is then instigated, allowing resolution or closure of the hazard through creating, allocating, and scheduling tasks. When the hazard has been resolved, Safeguard will also notify the original sender to let them know of this progress.
The benefits of this new functionality are widespread, from reinforcing a proactive Health & Safety culture, to encouraging staff awareness and involvement. Hazard reporting becomes quick and easy, staff are equipped and encouraged to take an active role in safety.

SHP Article - Rivo's Matt Duckhouse looks at how to select the right H&S software system.
Rivo Software has expanded Safeguard’s accident and incident management module to cover road traffic accidents, physical and verbal abuse and a wide range of environmental incidents.
For many organisations the most common source of incidents is road traffic accidents, and managing and co-ordinating the consequences of these is extremely challenging. There are often multiple parties involved, insurance claims to be managed and a need to protect members of the workforce.
Certain sectors are particularly exposed to the risk of physical and verbal abuse. The proper recording and management of incidents of abuse and challenging behaviour can pinpoint problem individuals and staff at the highest risk.
Designed to manage complex policies involving multiple users and locations, Rivo’s software is currently used by blue-chip and public sector organisations across numerous business sectors. Key to the success of the system is the user-friendly nature of the software and Rivo’s flexible approach in configuring the software to match an organisation’s existing processes.

Safeguard, the UK’s leading Health and Safety management system, has been further enhanced with a new release. January 2006
DSE Press Release - Further enhancement of Safeguard with the launch of the new module that allows organisations to manage Display Screen Equipment (DSE) assessments.
Safeguard, the UK’s leading Health and Safety management system, has been further enhanced with a new release. Designed by Rivo Software to help organisations improve Health & Safety management and compliance, Safeguard is a web-based software system which includes modules for Incident Management, Risk Assessments, COSHH, Audits, Training, and Hazard management.
The latest version of Safeguard includes a new DSE module allows organisations to manage Display Screen Equipment assessments on-line and for issues to be tracked and managed.
Detailed audit trails are another feature included in the latest release. Audit trails record when items were created or changed, who the item was created or changed by and what changes were made. These records are maintained for incident reports, risk assessments, COSHH assessments, training records, tasks and hazard records. This is particularly valuable when tracking the history of a record, such as for an accident, is important - perhaps if legal action is taken, or an insurance claim is made. The organisation can show with confidence what changes have been made to the record, when and who by.
Rivo’s Managing Director Simon Hook commented: “Safeguard is best-in-class software and it is vital that we continually enhance the product and introduce functionality demanded by the market. Our clients include Focus DIY, Red Bull Racing, Persimmon Homes, British Sugar plc and Amicus, and the range of business sectors represented reflects the flexibility of Safeguard to meet the differing and often complex requirements of specialist sectors. Safeguard is designed to fit with an organisation’s own processes, and this flexibility has been a key factor in the success of the system”.
Safeguard has a comprehensive suite of standard reports and to support ‘ad hoc’ requirements most of these reports allow parameters such as dates, locations and status to be defined. Safeguard is a highly intuitive system, and reports can be run easily by any user with the appropriate access rights. This provides instant visibility of organisational Health & Safety patterns and trends and areas of non-conformance can be identified quickly.
