Project Summary

Rivo provided Wincanton with a system to manage accidents, incidents and crime reporting.

Wincanton uses Rivo Safeguard’s Accident and Incident module and crime reporting.  2,000 employees regularly access the system from 420 locations, across 15 countries and in 9 languages.

Business Needs

Wincanton’s previous system for capturing safety, health and environmental related incidents was a largely manual process. Each month, details regarding incidents were captured through a number of spreadsheets, completed at each site throughout the business, which involved a number of steps, leading to a duplication of effort and the potential recording of inaccurate data.

This ultimately led to the production of imprecise reports and it was felt that a system would help provide accurate, real-time information and reduce the time spent producing statistical information.

Solution

Following a successful pilot project delivered over a 3 month period, Rivo’s Safeguard solution was implemented to over 400 UK locations.

The solution was subsequently rolled out throughout 15 European countries, translated in to 9 languages, including Spanish, French, Dutch, German, Italian, Polish, Czech, Slovakian and Hungarian, and was accessible to over 2,000 users. Preparations made by Wincanton and Rivo to deliver the system to these European locations included identifying and meeting the requirements specific to each country, translating the Wincanton system into multiple languages and training users on a country by country basis. Safeguard was implemented across the business using a controlled, structured format, which enabled both organisations to measure the success of the project. Safeguard was delivered across the business and exceeded requirements in just 9 months.

Wincanton has continued to enhance the Safeguard solution by implementing a ‘Crime’ reporting module, the Risk Assessment and Audit/Inspection modules to work in conjunction with the Incident reporting module, increasing visibility and improving efficiencies across the organisation. All modules are available throughout the 15 countries and in their native languages.

Management reviews are now more detailed and targeted, allowing us to make more precise judgements about how and where to allocate resource.  Cost savings will always be hard to quantify, however we allocate a standard costing formula to each lost time accident (based on liability claims, sickness payments, agency replacement staff, overtime, management time etc).  It goes without saying that reducing accident rates, or maintaining rates at very low levels, contributes to reducing our running costs and making us more attractive to our customers.”
