About City Link
City Link, part of Rentokil Initial plc, is one of the UK’s leading premium express delivery companies. Established in 1969, it has a network of 83 corporately owned Depots, employs more than 5,400 people and operates a fleet of 3,500 collection and delivery vehicles.
City Link carries around 180,000 consignments, consisting of more than 250,000 parcels, per night and consequently Health and Safety is of paramount importance.
Business Needs
In 2006, City Link was looking to improve the efficiency and effectiveness of its Health and Safety management within the organisation. With no central repository for data, City Link faced issues around co-ordinating risk assessments across multiple locations, managing checklists, tracking hazards, managing harmful substance inventories and keeping records of staff Health and Safety related training. City Link also wanted to improve on the way Health and Safety audits were managed and wanted to be more easily able to analyse data and spot problem areas quickly so that corrective actions could be put in place.
Solution
Following a review of service providers, Rivo Safeguard was chosen to help City Link automate many of its existing paper-based Health & Safety processes. City Link chose a staggered roll out of Safeguard and following a successful implementation of the Risk Assessment and Training modules; the Hazard, COSHH, Assets, Inspections, Permits and Task Management modules were subsequently rolled out to all locations.
Since the initial roll out, City Link is now using the Contractors module to record all of its contractor information and ensure that all contractors have been reviewed by the business and are approved by the H&S Department allowing them to work on site. The system holds all necessary documentation the contractor is required to supply which can be accessed by each depot manager when the contractor comes to work on site.
The Training Module ensures that City Link can log all employees’ Health & Safety training when it is completed. Expiry dates are flagged and automatic, system-generated email alerts provide plenty of warning when training is due for renewal so this can be planned accordingly.
Using Safeguard to manage risk assessments has provided City Link with a system to store all risk assessments for the business by depot. They are now are able to publish them to all employees and can ensure they are regularly reviewed and signed off by managers and best practice is shared throughout the business. Time savings can be made as review and sign-off can be done automatically and e-mails sent to individuals when risk assessments are coming up for review.
Return on Investment
The implementation of Safeguard has improved the efficiency of Health and Safety processes throughout City Link and improved integrity and reliability in terms of data capture. The Health & Safety team can access Safeguard from any location and has greater control over outstanding safety actions, which can be allocated quickly and tracked through to completion easily. Safeguard’s report generation functionality allows real-time management of City Link’s Health and Safety performance.
